Area 03 · Process automation

Let repetitive tasks take care of themselves.

Reports, orders, invoices, incidents and customer service: I look for what a team repeats every week and automate it with AI. It’s my focus, and where the most time is recovered.

Example of an automated flow: the POS close goes into Google Sheets, it checks whether the cash balances and, if it doesn’t, the manager is alerted.

Hours lost to tasks that repeat

These are phrases I’ve heard (and said) in store. Behind each one there are usually hours that can be recovered.

  • “It’s ten o’clock and I’m still balancing the till.”

The close is copied by hand from the POS to Excel, shop by shop.

  • “Half my Monday morning goes on the report.”

Gathering sales, adding things up and sending it when there’s time.

  • “We find out something’s out of stock from the customer.”

Nobody checks the stock until it’s missing from the shelf.

Practical examples

Two shop examples, before and after

Everyday retail situations and how they’d look with an automated flow.

Example

Daily till close

For shops that balance the till by hand every night.

Before

At closing, someone copies the POS close into Excel, compares it with the counted cash and, if it doesn’t balance, mentions it the next day. Say 15 or 20 minutes per shop per day.

After

The close goes straight into a Google Sheets sheet. If the cash is out by more than the margin you decide, the manager gets an alert that same night with the shop and the difference.

Example

Supplier order when stock runs low

For those who restock by eye or with a printed list.

Before

Someone checks the stock when they can, notes down what’s missing and writes the order by hand. Stock-outs are noticed when a customer asks for something that isn’t there.

After

When an item drops below the minimum you set, a draft order is prepared with the usual quantities. You review it and send it: nothing goes out without your approval.

These are examples to give you an idea, not real projects. The hours and figures are illustrative: every shop works differently, and what can be automated depends on the programs you already use.

How we work

How I work, step by step

Three phases. In each one it’s clear what AI does, what I do and what you decide.

  1. Diagnosis and plan

You tell me how you work and together we see which tasks repeat and how much they weigh. I suggest where to start, with which tools and what would be needed, and I put it in writing.

  2. Build

I set up the flow with your programs and test it before putting it live.

  3. Training and follow-up

I show the team what the flow does, how to check it and what to do if it flags a failure.

After delivery

Ongoing support

Flows change when the business changes. If needed, I stay close:

  • Review of the flows when the programs change
  • Responding to failure alerts
  • A monthly report on how the flows are performing
  • Improvements and the next task on the list

Only if the project calls for it and when you decide.

My commitments

  • Nothing is published or switched on without your approval, and you see it first in a test version.
  • I don’t access your accounts, send messages or spend money without your permission.
  • I don’t make up data: if a figure isn’t there, I say so.
  • Everything is documented and in your business’s name.

What we build stays in your hands

  • The flows, in your accountsMake, n8n or Zapier in the business’s name, not mine.
  • A guide to each flowWhat it does, who it alerts and how to stop it, so you don’t depend on me.

Where I come from

I don’t come from tech. I come from the shop floor.

I’ve run shops and areas for 12 years at Primaprix, Carrefour and Covirán, in Spain, France and Portugal. I know the weight of a stocktake, an unbalanced shift or a last-minute report. That’s why I automate what really takes up time in store.

Frequently asked questions

What people usually ask me

Do I have to change my programs?

No. I connect what you already use (email, Excel or Google Sheets, your POS or your ERP) whenever possible.

Is my customers’ data safe?

I design each flow so that personal data doesn’t go anywhere it shouldn’t. I explain it in this article.

What happens if something stops working?

Every flow alerts you when it fails, and I show you how to check it. If needed, I fix it myself.

Where do we start?

With a single task: the one that repeats most and takes the most hours. The diagnosis is there to choose it. Starting small lets you see if it works before going further.
